Administrative Coordinator - Dean of Social Sciences — New York

GENERAL DUTIES

Supports projects, initiatives, and activities that impact an academic or
administrative department.

- Manages basic office functions such as communications, meeting schedules,
work plans, staff assignments, and distributing information.

- Collects data for, prepares, and distributes reports and presentations
using word processing, spreadsheet, and presentation software.

- Updates office databases, lists, and files to ensure completeness and
accuracy; maintains current information on department web site(s); maintains
department archives and collections.

- Conducts internet and/or database research and performs basic systems
queries to locate information related to department activities.

- Maintains department fiscal plans and budgets; assists in budget
administration and invoice processing.

- Provides basic information, instructions, and materials as requested by
students, faculty, and others who contact the department.

- May supervise office staff and student workers.

- Performs related duties as assigned.

CAMPUS SPECIFIC INFORMATION

In support of the Queens College mission, strategic goals, and plans, the
Office of the Dean of Social Sciences (ODSS) seeks to fill one Administrative
Coordinator position.

Reporting directly to the Administrative Executive Assistant to the Dean of
Social Science, the Administrative Coordinator is responsible for coordinating
administrative tasks within the office.

Specific duties include but are not limited to:
- Assisting the Dean and the Administrative Executive Assistant with
administrative tasks related to office and personnel management.
- Supervising administrative coordination activities performed by office
staff.
- Serving as ODSS website content editor; maintaining website to ensure
information is current and accurate; utilizing social media venues such as
Facebook and LinkedIn for divisional programs.
- Managing the Deans calendar and responding to requests from faculty,
students, and other stakeholders to meet with the Dean.
- Analyzing data; maintaining and updating spreadsheets and records related
to faculty matters, budgets, students, and alumni.
- Serving as liaison for programs and boards, including Deans New
Professionals, Accelerated Masters Program, Business Forum, the Business
Advisory Board, and the Pre-Law Advisory Board.

MINIMUM QUALIFICATIONS

Bachelors Degree required.

OTHER QUALIFICATIONS

Preferred qualifications include:
- Demonstrated written and verbal communication skills
- Demonstrated ability to multi-task in a fast paced environment
- Extensive experience with spreadsheets and maintaining databases
- Professional experience with Oracle/PeopleSoft systems
- At least two years of experience in higher education including extensive
contact with faculty, staff, and students

COMPENSATION

Commensurate with qualifications and experience.
